BOOKING TERMS & CONDITIONS
Pearl Tours & Travels (Pvt.) Ltd. accepts bookings based on the following terms and conditions.
COSTS & SERVICES:
Tour Pricing Basis
The tour costs provided are calculated based on the proposed itinerary and are reflective of the services and arrangements detailed therein.
Inclusions in Tour Cost
The quoted price includes services such as transportation, applicable road taxes, and hotel accommodation on a bed and breakfast basis (where applicable), or as otherwise specifically mentioned in the itinerary.
Clarity of Service Inclusions and Exclusions
The tour cost breakdown clearly differentiates between “Services Included” and “Services Not Included”, ensuring transparency regarding what is covered under the package and what is not.
Price Adjustments
Tour costs are subject to change if there are revisions in government taxes, levies, or supplier rates prior to the commencement of the tour.
Non-Binding Quotations
All tour quotes are indicative and subject to change without prior notice.
Room and Transport Sharing Policy
Prices are quoted on a per-person basis, assuming shared transportation and triple room accommodation (where applicable). Additional Single Supplement charges will apply for double/twin or single room preferences.
Unforeseen Cancellations or Interruptions
In the event of trip cancellation or disruption after the tour has commenced—due to weather conditions, road closures, flight delays or cancellations, vehicle breakdowns, illness, government restrictions, or any other unforeseen circumstances beyond the control of the tour organizers—any actual expenses incurred (as determined by the organizers), along with a service fee to cover administrative costs, will be charged.
Hotel Availability
Hotels listed in the itinerary are subject to availability at the time of booking. In the event that a specified hotel is unavailable, a hotel of equivalent standard will be arranged.
CONFIRMATION:
Tours must be confirmed 28 days in advance along with passenger rooming list. Failure to meet the above conditions may result in the cancellation of blocked hotel rooms by the hotels.
PRE – PAYMENT:
Upon confirmation, clients are requested to pay 60 percent of the tour cost, with the balance of the tour cost being received at least one week prior to arrival in Pakistan. This pre-payment schedule will be strictly adhered to unless otherwise agreed.
CHANGES TO THE ITINERARY:
We have made all attempts to make these programs as accurate as possible. However, in circumstances beyond our control, changes may occur. We therefore reserve the right to change itinerary, carriers and substitute hotels where necessary. We guarantee that where possible; establishments of similar category and standards will be used.
CANCELLATION:
Whenever confirmed tours are canceled, we reserve the right to levy normal charges to cover administrative expenses involved, together with whatever cancellation fees that may be charged to us by any company.
Whenever confirmed retreats are cancelled, cancellation charges as below would be applied:
Cancellations received 28 days before start of tour will be subject to a fixed per person processing fee with the balance amount fully refunded
Cancellations received between 28 days and 21 days before start of tour will be equivalent to 10 percent of the tour cost.
Cancellations received between 21 days and 14 days before start of tour will be equivalent to 25 percent of the tour cost.
Cancellations received between 14 days and 07 days before start of tour will be equivalent to 50 percent of the tour cost.
Cancellations received between 07 days and 01 days before start of tour will be equivalent to 75 percent of the tour cost.
Cancellations received less than 01 day or in the event of a no-show before start of tour will be in the amount equivalent to the full amount paid for the reserved tour.
INSURANCE:
For your own protection, we recommend that you purchase adequate trip cancellation, medical, baggage, accident and other personal effects insurance. We will be pleased to assist you on your insurance.
FLIGHTS SUBJECT TO WEATHER:
All Northern Area flights in Pakistan are subject to weather & back load conditions and thus operate on an ad hoc basis. Should the reserved flight not operate on the day scheduled as per the itinerary, alternative surface transportation will be arranged. If any additional costs are involved due to this change, these will have to be paid for locally.
VEHICLE USAGE AND SEATING CAPACITY
All vehicles arranged for tours are provided with experienced, trained drivers and are operated in accordance with local regulations and road conditions. Vehicles are maintained in line with local standards, including customary insurance practices.
By utilizing third-party vehicle services arranged through Pearl Tours & Travels (Pvt.) Ltd, you acknowledge and accept that Pearl Tours & Travels (Pvt.) Ltd shall bear no liability for any unforeseen incidents or events during the use of these services.
Please review the seating capacities outlined below and ensure compliance with the stated limits. Non-compliance may result in the third-party service provider declining to deliver the service, and no refunds will be issued in such cases. Additionally, no refunds will be provided for partially used services.
Vehicle Categories and Seating Guidelines:
Sedan (4-Door)
Maximum capacity: 3 adults (including any local guide)
Up to 2 children under 12 years of age may accompany.
Children aged 12 or older will be counted as adults.
4×4 Vehicle
Maximum capacity: 5 adults (including any local guide)
Up to 2 children under 12 years of age may accompany.
Note: Seating may include fold-down seats in the luggage area or side-facing fixed seats, in line with vehicle design.
Mini-Van
Standard capacity: 6 adults (including any local guide)
Up to 3 children under 12 years of age may accompany.
If no children are present, up to 9 adults may be accommodated.
Coaster (Mini-Bus)
Standard capacity: 12 adults (including any local guide)
Up to 6 children under 12 years of age may accompany.
If no children are present, a maximum of 18 adults may be accommodated.
We appreciate your understanding and cooperation in adhering to these guidelines, which are designed to ensure your safety and comfort throughout the journey.
NATIONAL IDENTITY CARD, PASSPORT AND VISA:
All Pakistani passengers must be in possession of their original National Identity Cards, and all non-Pakistani passengers must be in possession of their valid passport(s) and obtain a Pakistani visa before coming to Pakistan.
RESPONSIBILITY
Pearl Tours (Private) Limited, (herein called TOUR ORGANIZERS) act only as agent for hotels, airlines, bus companies, railroads, steamship lines, or owners or contractors providing accommodations, transportation or any other services, and all coupons, exchange orders, receipts, contracts and tickets issued by the TOUR ORGANIZERS are issued subject to any and all tariffs, terms and conditions under which any accommodations, transportation or any other services whatsoever are provided by such hotels, airlines, bus companies, railroads, steamship lines, or owners and contractors, and by acceptance of such coupons, exchange orders, receipt contracts and tickets, the tour member agrees to the foregoing and also agrees that neither the TOUR ORGANIZERS nor any of the affiliates or subsidiary companies shall be or become liable or responsible for any loss, injury , or damage to person, property or otherwise in connection with any accommodations, transportation or other services or resulting, directly or indirectly, from acts of God, dangers, incidents to the sea, fire, breakdowns in machinery or equipment or other authorities, de jure or de facto, whether declared or not hostilities, civil disturbances, strikes, riots, theft, pilferage, epidemics, quarantines, medical or customs regulations, delays or cancellations of or changes in itinerary or schedules, or from any causes beyond the TOUR ORGANIZERS control, or for any loss of damage resulting from improper or insufficient passports, visas or other documents, and that neither the TOUR ORGANIZERS or any of its affiliated or subsidiary companies shall be or become liable for, responsible for, any additional expense or liability sustained or incurred by the tour members as a result of any of the foregoing causes.
